Mirai Trading LLC is the data controller for the personal information described in this policy. This policy explains what we collect when you use this website or contact us, why we collect it, who we share it with, and what choices you have.

Information We Collect

We collect the following categories of information, depending on how you interact with us:

1. WhatsApp inquiries

Our primary contact channel is WhatsApp Business. If you message us, we receive your name (as shown in WhatsApp), your phone/WhatsApp number, and the content of your messages, including any vehicle preferences, budget, destination country, or other details you choose to share. This conversation history is stored within WhatsApp Business and may also be recorded in our own internal records (email, spreadsheets, or invoicing systems) to track and fulfil your inquiry or order.

2. Dealer account applications

The dealer application form at /dealer-account/ collects: business name, contact name, country, email address, WhatsApp number, business type, and any message you enter.

Third-party processor: this form is processed using FormSubmit (formsubmit.co), a third-party form-relay service based in the United States. When you submit this form, your information is transmitted to FormSubmit’s servers and relayed to us by email. FormSubmit acts as a data processor on our behalf for this specific purpose. See FormSubmit’s own privacy policy.

3. Job applications

Our Careers page uses WP Job Manager to list open roles and receive applications. If you apply for a position, we collect the information you submit through that process (which may include your name, contact details, and any resume, cover letter, or other material you provide) for the purpose of evaluating your application.

4. Website analytics

We use two analytics tools to understand how visitors use this website:

Google Analytics (via Google Site Kit): collects standard web analytics data such as pages visited, time on site, approximate location (derived from IP address), device/browser type, and referral source. See Google’s Privacy Policy.
Microsoft Clarity: records anonymized session recordings and generates heatmaps of how visitors move through and interact with our pages (clicks, scrolling, cursor movement). Clarity is configured to mask sensitive input fields by default, but because it records session behavior rather than only aggregate statistics, it is more detailed than standard analytics. 5. Vehicle export transaction data

If you proceed with purchasing a vehicle through us, we collect additional information necessary to complete the transaction and export, including your shipping address, payment and invoicing details, and export/customs documentation. This information is currently exchanged through direct communication (WhatsApp, email, and invoicing) rather than an automated online checkout, but it is personal information and is covered by this policy in the same way. To evaluate and respond to dealer account applications
To evaluate job applications

We do not sell your personal information to third parties, and we do not use it for purposes unrelated to the ones listed above without asking you first.

Legal Framework

As a business based in Japan, our handling of personal information is governed by Japan’s Act on the Protection of Personal Information (APPI), and we handle personal information in line with its requirements, including notifying you of the purpose of use of information we collect (as set out above) and taking reasonable measures to keep it secure.

We do not share your information with any other third party for their own marketing purposes.

International Data Transfer

Because we use service providers based outside Japan (including FormSubmit in the United States, and Google’s and Microsoft’s global infrastructure for analytics), submitting information to us through this website or its forms may result in that information being transferred to, and processed in, countries other than your own or Japan. By using this website and submitting information to us, you acknowledge this transfer. We choose service providers we believe handle data responsibly, and we only share the minimum information necessary for them to perform their function.

Data Retention

We keep personal information for as long as reasonably necessary for the purpose it was collected, including any period needed to satisfy legal, accounting, export/customs, or reporting obligations connected to a vehicle sale (see our How We Work page for how a typical transaction and its documents proceed). Inquiry and dealer-application data that does not lead to a transaction is generally retained only as long as needed to respond to and follow up on the inquiry, after which it may be deleted or anonymized. Analytics data is retained according to Google’s and Microsoft’s own default retention settings for Analytics and Clarity respectively, unless we configure a shorter period.

Correct inaccurate information
Delete your information, where we are not required to keep it for a legal or business reason
